An invoice is a professional document that requests payment for goods or services you have provided to a customer. It serves as a formal record of a sale, detailing what was sold, how much is owed, and the terms of the payment. Sending clear, professional invoices is essential for managing your cash flow, maintaining accurate records, and building trust with your clients.
Dappr Sales provides a powerful, integrated system for creating, sending, and tracking invoices, with built-in payment processing powered by Stripe. This guide will walk you through the entire process.
Managing your invoices
The main dashboard for all your billing activities is the central hub for tracking the status of every invoice you've issued.
To get started, navigate to Sales from the main menu, then select Billing from the top menu. The Invoices tab will be displayed by default.
On this page, you will see a complete list of all your invoices, which you can search and filter by status (e.g., Paid, Unpaid, Overdue). Clicking on any invoice in the list will open a sidebar with a summary of its key details, including the customer, amount, and any payments received. To see the full details, click View details in the sidebar.
How to create a new invoice
From the Billing page, click the Create invoice button in the top-right corner. This will open the full-screen invoice editor.
Select a Customer: You must associate every invoice with a customer. You can either select an existing customer from the dropdown or create a new one. Associating invoices with customers is crucial for tracking sales history and securely saving payment methods for future use.
Add Line Items: Next, add the products or services you are billing for.
If you have pre-saved products or services in your item catalog, you can select them from the list.
To add a unique item for this invoice only, click add one-time item and enter the details.
Set the Due Date: Choose when the payment is due. You can select a standard term (e.g., "In 14 days") or pick a specific date from the calendar.
Automatic sales tax calculation
Dappr can automatically calculate and add the correct sales tax to your invoice. This feature is enabled if:
You have added a billing address for the customer.
The "Collect tax automatically" option is enabled.
You are registered to collect sales tax in the customer's state.
If you are subscribed to the Dappr Pro plan, our system will also monitor your sales activity across states to help you identify when you may be required to register to collect sales tax (this is known as having "economic nexus"). Tax compliance is covered in more detail in separate articles.
Choosing how to get paid
Dappr provides several flexible options for payment collection:
Email invoice to customer with link to payment page: This is the most common method. Your customer will receive a professional email with a PDF of the invoice and a link to a secure, hosted payment page where they can pay using the methods you enable (e.g., Card, ACH Direct Debit, Wire Transfer).
Automatically charge a payment method on file: If your customer has previously paid and saved their payment information, you can charge them automatically.
Only generate a PDF to be shared manually: Use this option if you need to send the invoice outside of Dappr or print a physical copy.
Review and send the invoice
Once you have filled out all the details, click the Review & send invoice button in the top-right corner.
Dappr will perform a quick compliance check. For example, it may notify you if it detects that you have reached the economic nexus threshold in your customer's state and may need to register for sales tax (Pro plan only).
A final confirmation pop-up will appear. If you are sending the invoice via email, you can confirm or add recipient email addresses.
Click Issue invoice or Send invoice to finalize the process.
You will be redirected to the invoice's dedicated page, where you can track its status, see when it's viewed by the customer, and record payments. If the invoice is unpaid, you can find a link to the customer's hosted payment page by clicking View payment page.
