Creating and Managing Quotes

A guide to creating professional quotes in Dappr. Streamline your sales by automatically converting accepted quotes into invoices.

A quote (also known as an estimate or proposal) is a formal offer to a potential customer for your goods or services at a specified price. It is typically sent before any work begins or any products are delivered. Issuing a professional quote is a critical step in the sales process. It allows you to set clear expectations, outline the scope of work to prevent future misunderstandings, and get formal approval from a client before moving forward to the billing stage.

Dappr Sales allows you to create, send, and manage quotes, and then seamlessly convert them into invoices once they are accepted, streamlining your entire workflow from proposal to payment.

Managing your quotes

You can track the status of all your quotes from the main billing dashboard.

  1. From the main menu, navigate to Sales, select Billing from the top menu.

  2. Click on the Quotes tab in the sub-menu.

This page displays a list of all your quotes, allowing you to quickly see their status: pending, accepted, rejected, or expired. Understanding these statuses helps you manage your sales pipeline. For example, an expired quote can be a good reason to follow up with a potential customer. Clicking on any quote in the list will open a sidebar with a summary of its key details. To see the full details, click View details in the sidebar.

How to create a quote

  1. From the Quotes page, click the Create quote button in the top-right corner. This will open the full-screen quote editor, which has a similar layout to the invoice editor.

  2. Select a Customer: You must associate the quote with a customer. Click Find or add customer to select an existing client or create a new one. Ensuring customer details like the billing address are accurate at this stage is important, as this information will be used for tax calculations if the quote becomes an invoice.

  3. Add Line Items: Add the products or services you are offering with clear descriptions. Vague descriptions can lead to disputes later. For example, instead of "Consulting Services," a better description would be "Phase 1: Market Research & Analysis (20 hours)."

  4. Set an Expiration Date: This is a key feature of a quote. The expiration date is the deadline by which your customer must accept the offer. This is important because it protects your business from fluctuations in your own costs. By setting this date, you are guaranteeing that you will provide the quoted products or services at the specified price, but only until that date.

Quote settings and automation

Dappr provides powerful settings to streamline the process from quote to payment.

  • Delivery Method: You can choose to have Dappr email the quote to your customer, which includes a link to a professional, hosted approval page where they can accept or reject the offer online. Alternatively, you can select to only generate a PDF that you can download and share manually.

  • Automatic Conversion to Invoice: This is a powerful automation feature. If you check the box for "Convert to invoice automatically if the quote is accepted," Dappr will instantly generate a corresponding invoice the moment your customer accepts the quote online. This eliminates administrative work and shortens the time to payment. From an accounting perspective, this action is significant: the accepted quote becomes an official invoice, creating a record in your Accounts Receivable.

  • Payment Options: If you enable automatic conversion, you can also set the payment terms for the resulting invoice. You can allow the customer to pay immediately on the hosted page using the payment methods you enable (Card, ACH, etc.), or you can set a payment deadline (e.g., 14 days). This gives them the flexibility to formally accept the project now and handle the payment according to standard billing terms.

Review and send the quote

  1. Once you have filled out all the details, click the blue Review quote button in the top-right corner.

  2. Dappr will perform a quick compliance check, similar to when creating an invoice.

  3. A final confirmation pop-up will appear. If you are sending the quote via email, you can confirm or add recipient email addresses.

  4. Click Send quote or Finalize quote to complete the process.

The customer experience

If you emailed the quote through Dappr, your customer will receive a link to a professional, branded, and hosted page where they can view the full quote and download a PDF for their records. On this page, they will have the option to either Accept quote or Reject quote after entering their name for confirmation.

As soon as they take action, the status of the quote will be updated in your Dappr Sales dashboard, and you will receive a notification. This allows for immediate follow-up. If you enabled automatic conversion, a new invoice will be generated and will be ready for payment, completing the seamless transition from a proposal to a payable bill and an official entry in your accounting records.
